Inspired Commerce is an order management and despatch service for online sellers, operated by Inspire Tech Ltd ("we", "us"). This policy explains what personal data we handle, why, and the choices and rights you have. If anything here is unclear, email support@inspired-commerce.co.uk.
Our two roles
We handle personal data in two different capacities:
- As a controller for information about the people who use Inspired Commerce (our customers' staff), people who contact us, and visitors to this website. We decide how and why that data is used.
- As a processor for information our customers bring into the service, principally their own buyers' names and delivery addresses from orders on Amazon and eBay. We process that only on our customer's instructions, to run their order management and despatch. The customer (the seller) is the controller, so questions about that data are best directed to them.
What we collect
| Information | Examples |
|---|---|
| Account details | Name, work email address, company, role and permissions. Passwords are stored only as a salted, one-way hash, never in a readable form. |
| Security records | Sign-in attempts and lockouts, and technical logs such as IP addresses, used to keep accounts and the service secure. |
| Activity in the service | Records of actions you take, such as which user scanned or packed an order, so your company has an audit trail. |
| Billing | Your company's subscription and payment status. Direct debit bank details are collected and held by Stripe, not by us. |
| Communications | Emails you send us, and the account emails we send you (invitations and password resets). |
| Order data (as processor) | Buyers' names and delivery addresses, and the products ordered, received from the channels our customers connect. |
How and why we use it
- To provide the service you or your company signed up for, including account emails. Lawful basis: performance of a contract.
- To keep it secure and prevent misuse, such as locking an account after repeated failed sign-ins. Lawful basis: legitimate interests.
- To bill for it and keep financial records. Lawful bases: contract and legal obligation.
- To support you when you contact us. Lawful basis: legitimate interests.
We don't sell personal data, and we don't use it for advertising.
Who we share it with
We use a small number of service providers to run Inspired Commerce, each bound to protect the data and use it only for the service they provide to us:
| Provider | What for |
|---|---|
| Amazon Web Services | Hosting, storage and databases, in its London (UK) region, and sending account emails. |
| Stripe | Collecting subscription payments by direct debit. |
| Microsoft | Our support mailbox. |
When a customer connects a sales channel or carrier (for example Amazon, eBay or Royal Mail), we exchange order and shipping information with that service on the customer's instructions, for example to buy a label or send tracking back. We may also disclose information where the law requires it.
Where it's stored
Inspired Commerce is hosted in the United Kingdom. Where a provider processes data outside the UK, we rely on the safeguards UK data protection law requires, such as an adequacy decision or approved contractual clauses.
How long we keep it
- Account details are kept while the account is active, and deleted or anonymised within a reasonable period after it closes, unless we need to keep something for legal or accounting reasons.
- Buyer names and delivery addresses received from Amazon are removed within the timescales Amazon's data protection policy requires. The rest of the order record is kept for the seller's business and tax records.
- Security logs are kept only as long as needed to protect the service.
How we protect it
We use industry-standard security measures, including encryption in transit and at rest, strict separation between customers' data, and access limited to what's needed to run the service.
Cookies and browser storage
We don't use advertising or analytics cookies. The site and app store a small amount of information in your browser that's essential for them to work: your signed-in session, your light or dark display preference, and the company address you last signed in to.
Your rights
Under UK data protection law you can ask for a copy of your personal data, and ask us to correct it, delete it, restrict or object to how we use it, or move it to another service. To make a request, email support@inspired-commerce.co.uk. If your request is about order data a seller holds about you, we'll pass it to that seller, as they're responsible for it.
You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk. We'd appreciate the chance to put things right first, so please contact us.
Changes to this policy
If we make significant changes we'll update the date above and, where appropriate, let account holders know by email.
